The request is for there to be an enhancement to the Automated Contract Billing feature, which would account for, and adjust the billing according to the enrollment date changing. If a child is enrolled 'as of' a date for the purposes of billing, it does not calculate for whether the enrollment status ends within the cycle that is being billed.
The ‘enrolled as-of’ date, when selected early in the cycle will fully bill children who are enrolled as of that day, but withdrawn later in the cycle. When 'enrolled as-of' is selected later in the cycle, the system will not bill children who are withdrawn but were actually enrolled earlier in the billing cycle.
Regardless of when the ‘as-of’ date is selected, there is no method to easily calculate and apply a prorated amount based on partial enrollment mid-cycle.
Currently the workflow for managing prorated amounts, such as for children who are withdrawing or ending their enrollment partially through a cycle is to perform one of the following
Remove billing box items (to prevent accidental billing), and then manually calculate what the prorate needs to be, and then apply those charges to their ledger instead of using contract billing.
Process the contract billing cycle as normal, identify enrollment changes, and then go into the ledger(s) after performing contract billing to prorate the billing amounts accordingly.
