Suggestion Title: Child Time Card Selection for Pickup/Drop-Off Tracking
As administrative assistants, we occasionally need to correct children’s time entries—such as logging a child in or out—when computer or internet issues prevent teachers or parents from doing so in real time.
Manual edits to time cards lack context on who actually dropped off or picked up the child.
This creates potential inaccuracies in attendance records and makes it difficult to track liability or verify guardian pickup.
Introduce a “Pickup/Drop-Off Selector” within the time-card correction workflow:
When an administrator edits a child’s time entry, a dropdown (or searchable lookup) appears labeled “Person Responsible.”
The list is populated with approved contacts (parents, guardians, authorized pickup persons) already on file.
Administrator selects the correct individual who performed the drop-off or pickup.
The system logs this selection alongside the timestamp correction.
Accuracy & Accountability: Ensures every manual time-card edit is tied to a specific individual.
Audit Trail: Creates a transparent record—vital for licensing compliance, safety audits, and internal reviews.
Parent/Guardian Confidence: Demonstrates our commitment to precise attendance tracking and child safety.
Operational Efficiency: Reduces follow-up calls or manual notes to clarify who picked up or dropped off a child.
Leverage existing contact database for dropdown population.
Make the selector a required field for any manual time-card correction to prevent omissions.
Display the selected person’s name and timestamp in the child’s attendance log for later reference.
Consider an “Other” option with free text entry for one-off emergency pickups not yet in the system (with follow-up verification).
Review feasibility with the product and development teams.
Prototype the “Pickup/Drop-Off Selector” UI within the administrative time-card module.
Conduct a brief pilot with administrative staff to gather feedback and refine workflows.
Roll out the feature system-wide with updated training materials and process documentation.
Summary: By adding a “Person Responsible” selector to manual time-card edits, we’ll enhance attendance accuracy, build a stronger audit trail, and streamline administrative workflows—all while reinforcing our commitment to child safety and operational excellence.
