When centers cancel or modify a batch, it would be helpful if the system would remind the current user cancelling/modifying the batch, to cancel/modify any card processing fees if the center is surcharging. This would help remind clients to cancel the processing fees for an initial batch, before they process a second batch, so they do not over charge parents for the previous processing fees + the original tuition amount + the new processing fees. At the moment, when a center cancels a batch or modifies a batch, this does NOT impact the previous card processing fee that was automatically created by the system, when the batch was created initially. If a center does not cancel the processing fee after the corresponding batch was cancelled, it will stay as a balance that is not altered, unless it is manually voided or altered.

Center was extremely upset that the system does not notify the user in any way to cancel/modify any processing fees that were automatically created by a batch within Desktop, that if cancelled or modified, that the processing fees would also need to be modified/voided, prior to running a new batch. Client will need to know prior to running a second batch, that if the first batch was cancelled, they must void that corresponding batches processing fees. Client warned other locations of this issue (as they were on a board) so that they could also review their billing, and if no resolution, were looking to churn |
